Scaling Beyond Spreadsheets: Sigma’s Asset Tracking Story

Sigma is a leading manufacturer of high-end camera lenses and imaging equipment used by professional photographers, filmmakers, and content creators worldwide. The marketing team manages hundreds of lenses, kits, and promotional assets that are regularly loaned to field representatives, media partners, and social media influencers.

The Challenge:

Five Spreadsheets and No Single Truth

Managing premium camera gear across a distributed team is complicated enough. Doing it across disconnected spreadsheets? Nearly impossible.

Sigma's inventory was split between separate files, individual lenses in one place, pre-configured kits in another. Field reps had no easy way to verify which lenses were packed into which kit, making pre-event preparation a frustrating game of back-and-forth.

The ripple effects were real. When brand exposure opportunities arose, for example via social media influencers interested in making content with a specific lens, the team had to dig through spreadsheets manually just to confirm it was free — slowing down a process where speed is everything.

The problem we were trying to solve is keeping track of our lenses. We originally had everything in like five different spreadsheets and all the kits were in their own spreadsheet and it was really hard to keep track of everything.

The Solution:

A Centralized Asset Hub

In 2018 Sigma implemented Cheqroom to retire their manual spreadsheets and create a single source of truth for their marketing equipment.

4 Highlights from Sigma’s Implementation of Cheqroom’s Equipment Management Solution:

Unified Inventory

All lenses and kits live in one place, accessible to the whole team regardless of location.

Kit Management

Sigma can now organize gear into specific kits, allowing field reps to "self-serve" and verify that a kit meets their specific event needs.

Real-Time Visibility into Availability

The team can instantly check the status of new releases to facilitate rapid-fire loans to social media collaborators and PR partners.

Mobile Access

Field reps and marketing staff can access the system on the go, ensuring they have what they need without back-and-forth emails.

[Cheqroom] helps the reps in the field because they can look at the kit and see what lenses are in each individual kit to see if that will work for their particular event.

The Impact:

Shutter-Speed Efficiency

Since adopting Cheqroom, Sigma has seen a measurable return on investment through improved operational speed and brand reach:

⏱️

Significant Time Savings

By eliminating the need to search through multiple spreadsheets, the team reclaimed hours of administrative time every week.

📣

Increased Brand Exposure

The ability to quickly loan gear to influencers has led to more video content and higher brand visibility.

🤝

Empowered Field Reps

Self-serve kit information means the right gear gets to the right event without hiccups or last-minute surprises.

🚀

Scalable Operations

With the logistics "on autopilot," Sigma can focus on community engagement rather than inventory troubleshooting.

The return on investment I would say is we save so much more time—and time is money. In the past everything was just in spreadsheets and we'd have to search through them to see if something was available, and a lot of times they didn't line up. But now everything's just in one spot and it saves us a lot of time.
