Event Planning & Prep Workflow

Your Event Runs on Equipment That Has to Show up Right

One place to plan, coordinate, and close every event: from gear reservations to post-show reconciliation.

The Operational Record Your Events Have Been Missing

Events are complex operations — multiple teams, functions, and resources all moving toward the same deadline. Without a single view, pre-event planning becomes a cycle of cross-checking across tools, and post-event reconciliation never quite closes.

See Event Prep In Motion

Watch the 2-Minute Overview:

Cheqroom brings your reservations, availability tracking, maintenance, procurement, and compliance into one system so nothing falls between the event and your inventory.

  • Reserve gear, attach documents, and track compliance in one system
  • Route requests, approvals, and alerts so every handoff is documented before the first case leaves the warehouse
  • Inspect and document condition before it ships and when it returns
  • Log costs, prepare invoices and push them to your financial tools automatically
  • Give every stakeholder visibility without manual updates

How It Works

From Kick-Off to Wrap-Up

Cheqroom connects operators, coordinators, field teams, and finance across the full event lifecycle, so there are no gaps in the handoffs, or the records.

Events: Event Prep and Checklists
Pre-Event

Planning & Prep

  • Kick off the project. Assign the project lead, set budget guardrails, and confirm the dates.
  • Build the resource list. Reserve equipment, consumables, swag, or spaces with real-time availability checks so nothing gets double-booked.
  • Inspect before it ships. Document condition, capture photos, and complete the pre-event checklist before anything leaves the facility.
  • Ship and log everything. Assign vendor details, generate ATA carnets, track transit, and confirm compliance documentation is in order before departure.
Events: Onsite Asset Tracking
At-Event

Onsite Visibility

  • Spot-check every arrival. Scan each item against the reservation list so missing gear is caught before the event starts.
  • Automate crew alerts. Notify the right people when plans change, gear is ready, or deadlines are approaching.
  • Track every move. Log transfers between crew members or locations in real time so nothing is missed on the event record.

Post-Event

Return and Wrap-Up

  • Return and reconcile. Check every item in against the original reservation list and surface anything that doesn't come back.
  • Document damage immediately. Flag condition issues and kick off maintenance work orders or replenishment automatically.
  • Close out invoicing. Log event costs directly in Cheqroom or push them to your financial tools.
  • Archive the event. Store the full record of gear, documents, conditions, and costs so the next event starts from a clean baseline.

Industries

Event-Ready Equipment, Every Time

From one-off productions to recurring programs, teams use equipment planning and prep to keep the right gear ready, assigned, and accountable before the clock starts.

Broadcast & Media

Build the flypack, track condition, and generate the paperwork (think carnets, insurance, and loss logs) without adding administrative overhead.

Higher Education

Run campus events like a well-oiled machine with the right gear staged, assigned and turned around fast between venues.

Sports & Entertainment

Turn game day or showtime into a repeatable playbook with pre-packed kits, fast handoffs, and clean check-in after the crowd clears.

Corporate

Keep every activation on track, from roadshows to townhalls with equipment booked, documented, and verified back into inventory after teardown.

Device Manufacturers

Prep demo fleets and field kits with serialized tracking and clear ownership so roadshows and trials stay on schedule.

Government

Keep public events on track with shared equipment distributed where it’s needed, logged with accountability, and checked back in cleanly after teardown.

Capabilities

Centralize Event Execution

Tie every kit, handoff, and cost back to the event.

Reservations, Kits, and Availability

Reserve inventory, build reusable kits, and check availability in real time. Surface conflicts at planning, not on the day of the event.

Docs, Checklists, and Run-of-Show

Attach setup guides, ATA carnets, checklists, and planning documents directly to the reservation. Keep everything the team needs in one place.

Inspection & Condition History

Require sign-off before high‑value gear ships. Condition is documented, timestamped, and easy to pull up on mobile during returns.

Assignment & Custody Tracking

Assign items to people or teams so you always know who has what, when it changed hands, and what’s still outstanding.

Booking Portal & Mobile App

Share what’s reservable via a portal, then run the day from your phone: scan items, capture condition changes, or document onsite transfers so your event crew can see real-time status from anywhere.

Event Cost Tracking & Invoicing

Capture equipment, logistics, and repair costs per event, and keep a history you can use for budget planning and post‑event reviews.

FAQs

  • Yes. Cheqroom tracks equipment location as part of the checkout or spotcheck record. Equipment transferred between locations during an event can be updated in real time via a quick scan. The complete location history — where the equipment was, when, and who was responsible — is part of the permanent event record.

  • Cheqroom’s availability system prevents double-booking. When equipment is reserved for one event, it is locked from other reservations for the same date range. If a conflict exists, the system flags it at the point of reservation, so coordinators can resolve availability issues in advance.

  • Yes. Cheqroom has a mobile application that works on iOS and Android. On-site team members can check equipment in and out, document condition with photos, flag damage, and transfer items between crew members from their phones without requiring a desktop or laptop on-site.

  • Items that are not checked in at post-event reconciliation remain flagged as outstanding in the system. They are not available for other reservations until returned or written off. The outstanding item flag, along with the original checkout record showing who it was assigned to, stays visible to event managers and administrators.

  • Yes. Cheqroom supports equipment kit creation — grouping the items you deploy together, including small, frequently used gear and consumables. A kit can be reserved as a single unit, and everything in the kit moves through checkout, on-site, and return together. Kits can be reused across recurring events without rebuilding the list each time.

When items run low or go missing, replenishment is straightforward—restock or swap what you need, and the kit stays event-ready for the next run.
