The Challenge:

SAE University College Dubai is a vibrant, multi-discipline creative campus. While Audio, Film, Animation, Games, Design and Music students generally utilize distinct equipment pools, those boundaries blur rapidly during Capstone and Major Project phases. When high-stakes deadlines hit, the traditional logic of "this department owns this gear" completely breaks down. The Tech Team was managing that complexity by hand:

The team had to build and maintain individual booking forms for every single class—resulting in a staggering 35 distinct forms across different classes and degree programs, alongside separate manual approval checklists.

PDFs Don't Update Themselves.

Staff had to cross-reference every submission to ensure the right form was used, often contacting faculty directly to verify a student's access. When mistakes happened, the team was stuck manually editing PDFs for the students and chasing down updates.

Booking requests arrived through unstructured email threads, resulting in faculty fielding technical inquiries completely unrelated to their classes.
